Content and work results that have been created entirely or substantially with the help of AI are labeled by the pme Familienservice , e.g., in accompanying texts or metadata.

Labeling of AI use in audiovisual media: When AI is used in audio-
visual content, a graphic label with the following categories is used:

  • "AI generated": For content created entirely by AI
  • "AI translated": For AI-translated content (with lip synchronization if applicable)
  • "AI processed": For content substantially altered by AI

This label is used when audiovisual media has been significantly altered or created using AI. Minor AI-based optimizations, such as sound enhancements or background adjustments, do not require special labeling.

If consulting or information services are provided by AI, e.g., in the form of consulting bots, this will always be clearly indicated and the consent of customers will be obtained.

pme Guidelines for the use of AI

Preamble

Artificial intelligence (AI) technologies and tools are already rapidly transforming the world of work. Especially in the editorial and communications fields, AI has become indispensable today when it comes to, for example, creating and editing images, videos, audio, and text. But AI can also be helpful today in the provision of consulting and placement services, for instance, to automatically translate language, summarize conversations and content, or facilitate the search for relevant information and solution options. 

AI already offers many opportunities to optimize communication, products, and processes and tailor them even more precisely to the needs of our customers and our team members. The pme Familienservice therefore consciously relies on the use of AI applications to improve our offerings and customer service and to make our team members’ work easier.

In addition to many opportunities, its use also entails numerous risks. That is why the European Parliament passed the Artificial Intelligence Act in March 2024, thereby creating the world’s first legal framework for the use of artificial intelligence. pme Familienservice these risks and concerns very seriously and therefore began as early as 2022 to systematically build internal AI expertise and actively involve team members in discussions regarding the use of AI. We are convinced that we can only successfully harness the potential of AI if we make our goals and use of AI transparent and decide together with our team members and our clients when to use AI and for what purpose.

pme stands for professionalism, humanity, and experience. These characteristics will also guide us in our use of AI.

Purpose of AI use

We use AI to improve our offerings and customer service and to make our team members’ work easier. AI serves as a tool for optimizing communication, products, and processes. Replacing our team members is explicitly not our goal. Human intelligence, creativity, and expertise remain central to the services we provide.

Data protection and monitoring

The security of our IT systems and the protection of personal data form the basis of our work. It goes without saying that we comply with the General Data Protection Regulation (GDPR) and the EU AI Act. An overview of our measures:

  1. Risk assessment: Before personal data is processed by AI systems, we conduct a thorough risk assessment.
  2. Continuous monitoring: Our AI applications are continuously monitored and the quality of interactions is regularly checked.
  3. Data protection in the European legal area: Your entries and data remain exclusively within the European legal area. Our AI systems are hosted in the EU, meaning that your data is subject to the strict requirements of the GDPR.
  4. No use for training purposes: Your data will be used for training external AI systems.

AI training and data literacy

We actively promote AI and data literacy among our team members through training sessions, workshops, and regular updates. To ensure the safe use of AI, we provide all team members with GDPR-compliant AI tools for their daily work. We actively encourage the testing of new AI tools to further develop our skills and services, provided that guidelines are followed.

Transparency and labeling

Content and deliverables created primarily with the help of AI are Familienservice as such by pme Familienservice . When AI is used to provide consulting or information services, this is clearly indicated, and customer consent is obtained. Audiovisual media are marked with a graphic indicator if they have been created or modified by AI.

Our stance: People remain at the center

We rely on blended coaching—the targeted combination of AI-supported services and personal expert advice. AI can make it easier to get started, for example, when there are inhibitions or a desire to first take some time to get your bearings. At the same time, it helps to speed up administrative processes: faster appointment booking, uncomplicated information requests, less waiting time for standard issues. This creates space for what really matters: personal advice. Because as things progress, our expert advisors take over: humanity, experience, and empathy cannot be automated.
